DMS Setup
You can find the DMS setup with the search under "DMS Setup". In the DMS Setup area you will find three tabs. In the section"General" you will find current version. In the section"Upload attempts" you can see the parameters, how the upload of records is done. In the tab "License information" you can find information about your DMS Connector license.
The following describes the fields on this map.
General tab
- Version: Indicates the version of the app.
- DMS Process Nos.: A number series must be stored here, which the DMS Connector can use as a transaction number for documents, for example to link them across the sales process.
- DMS User Origin: Specifies the data with which the DMS user setup is to be filled.
- Copy document - Copy DMS Process No.: Specifies whether the DMS process number should be copied to the new document when using the "Copy document" function. This means that the DMS documents are also displayed on the new document.
- Enable Config. Package Field Validation Override: Activates actions on the configuration package card that allow the field validation to be overridden.
- Ignore Database Changed Check: When executing the job queue jobs, the system checks whether the client/environment has been copied. If this is the case, the jobs are no longer executed to prevent incorrect data from being transferred to the DMS.
Deactivation
If this check is deactivated, incorrect information or documents may be transferred to the DMS.
- Use New Payment Date Logic: Specifies whether the new logic should be used to determine the payment date. Performance has been improved with the new logic. The paid vendor/customer ledger entries are written to archive tables. To subsequently fill the tables for processing, the “Copy Ledger EntriesTDMS” job must be executed once.
- "Paid on" M-Files Property: Mapping to the "Paid on" M-Files property. This property is used to synchronize the payment date of invoices and credit notes to M-Files. The synchronization is taken over by the DMS job 5371139 "Update Ledg. Entry InfoTDMS".
- "Comment" M-Files Property: Mapping to the "Comment" M-Files property. This property is used to synchronize the comments from M-Files to Business Central. The synchronization is part of the object import setup and is taken over by the DMS job 5371127 "Object ImportTDMS".
- Use New Archive Setup: Specifies whether the old or the new Report Archiving is active.
Conversion
If you have already set up the old report archiving, it is advisable to coordinate the conversion to the new report archiving with your contact at TSO. Your individual implementations for the report archiving may need to be analysed and modified before the conversion.
- Property for duplicate checking:If an text property is stored here, the company name and unique ID of the table data record is automatically written to this field when documents are uploaded. This ID is used for duplicate checking and prevents files from being uploaded multiple times.
- Duplicate Check Company Name: The company name is stored in this field for duplicate checking to prevent files from being uploaded multiple times when the same document id exists in different companies.
- Archive Config Package Period: Automatic backup from DMS setup. If a date formula is stored here, the DMS setup is backed up in the background via a configuration package. A DMS table setup "CONNECTOR-SETUP" is created, in which the configuration package is then generated and uploaded at the stored interval.
- Last Archived Config Package Date: Shows when the configuration package for the DMS setup was last created. The date can be reset using the "Reset config. package date" action.
Dropform and Document Viewer
- Global Default Document Action: Specifies the global default action that controls the way in which documents are opened via the drop form. The default action can also be defined per user in the DMS User Setup
- Open in Desktop Client: Opens the document in the M-Files desktop client.
- Open in Web Client: Opens the document in the M-Files web client.
- Open in Default App: Opens the document with the default app that is stored for the file type.
- Preview: Opens the advanced view and displays the document in the document preview.
- DMS document visibility limit: Specifies the maximum number of documents displayed per grouping level in the DMS factbox. If this value is set to zero, all documents are displayed.
- DragDrop File from M-Files - Show Selection Menu: If a file is dragged from M-Files onto the DMS DropForm, a check is made to see whether this file has already been linked to a data record in BC. If this is the case, a selection of what should happen to the file is displayed. It is possible, for example, to move the document to the new data record or to link it to this new data record.
- Global Class Selection List Order: Specifies the global class selection list order. A user-defined order can be set up in the DMS user setup. The user-specific setting overrides the global setting.
- Show temporary documents: Specifies the global setting for the visibility of temporary documents. A user-specific setting can be set in the DMS User Setup. The user-specific setting overrides the global setting.
- Document Viewer Usage: How should the document preview be used in Business Central?
- Hide preview: The document preview is hidden for all users in the system, regardless of the authorizations in M-Files.
- Show preview: The document preview is shown for all users in the system, regardless of the authorizations in M-Files.
- Show viewer depending on DMS permission: The document preview is displayed based on the DMS user setup and the M-Files authorizations. Users without a license cannot display a document preview.
- Extract ZIP files: Specifies whether ZIP files should be automatically extracted when dropped onto the DMS Dropform. If enabled, the individual files contained in the ZIP archive are uploaded separately instead of the ZIP file itself.
- Document viewer timeout (min.): Users with an M-Files concurrent license must log in to M-Files to use the document viewer in the DMS Connector. After logging in, the viewer is valid for the duration specified here. If the user is no longer logged in to M-Files, they must log in again to use the viewer.
Active Job Queue Functions tab
- Process Update Workflow State: Should the update of the workflow status of the documents be executed within the job "DMS Job Queue Process". The workflow update can also be executed separately using the job "DMS Update Workflow Status".
- Prevent Posting with Errors: Specifies the value of the Prevent Posting in case of errors field.
- Old Update-WF State Function: Use the old update workflow status functionality. The performance of the jobs has been improved.
- Sync M-Files Licenses on User Setup Import: Specifies whether the User Setup Import job also synchronizes M-Files licenses after importing users.
Upload Attempts tab
- Number of Files per Upload: Indicates how many objects/files per table setup are uploaded per run. Recommendation: 50
- Max. Number of Retries: Indicates how many times a failed transfer should be retried at most. Recommendation: 4
- 1st Attempt after Minutes: Indicates after how many minutes the next upload attempt will be started after the previous attempt has failed. Recommendation: 2
- 2nd Attempt after Minutes: Indicates after how many minutes the next upload attempt will be started after the previous attempt has failed. Recommendation: 4
- 3rd Attempt after Minutes: Indicates after how many minutes the next upload attempt will be started after the previous attempt has failed. Recommendation: 15
- Additional Attempts after Minutes: Indicates after how many minutes the next upload attempt will be started after the previous attempt has failed. Recommendation: 180
License Information tab

In the DMS Setup area, you can view all the information regarding the status of your current license in the "License Information" sectionat the bottom.
- App activated: Indicates the current activation status.
- License type: Indicates the current license type.
- Number of licensed users (only displayed with a user-based license)
- If the number of Business Central users exceeds the licensed user count, a warning will be displayed in the Role Center. If the license is not adjusted within 14 days or the number of licensed users in Business Central is not reduced, the connector will be deactivated.
- The following Business Central licenses are taken into account (see Microsoft documentation):
- Dynamics 365 Business Central Essentials
- Dynamics 365 Business Central Premium
- Dynamics 365 Business Central for IWs
- Expiration Date: Indicates when the license expires.
- Installation Date: Indicates when the DMS Connector was installed.
- Tenant ID: Specifies the current Tenant ID.
Actions
- Insert DMS Jobs: Insert all missing DMS jobs to the job queue.
- Retrieve License Information: Gets the current license.
- Job Queue Setup: Opens the job queue setup.
- Create Configuration Package: Creates a configuration package prefilled with the DMS Connector setup tables.
- Apply database information: Applies the current database information.
- Transfer Archive Setup: Starts the transfer of setup and log entries from the old to the new report archiving.
- Reset Archive Config Date: Resets the date of the last archiving of the DMS configuration package.
