Document Preview

The [Advanced View] button takes you to the document preview. There you have the option to examine your SharePoint documents directly from within Business Central.

The Structure of the Document Preview

The Document Preview consists of the following items:

  1. Navigation Bar - Presents several buttons with the following functions (going from left to right):
    • Previous Page - Show the first or previous page.
    • Page No. - Displays the page no. of the current page, as well as the total no. of pages in the current document.
    • Next Page - Shows the next or the last page.
    • Zoom - Zooms in or out in predefined steps.
    • Page View Adjustment - Matches the document to the width and height of the preview window.
    • Rotation - Rotates the document clockwise or anticlockwise.
    • Fullscreen Mode - Opens the document in fullscreen view.
    • Download - downloads the document.
    • Print - transfers the document to a print dialog window.
  2. File Preview - The file is displayed in this window, as an individual page if applicable.
  3. DMS FactBox - Contains the DMS documents

General Notes on the Document Preview

  • Supported File Formats - PDF, XML-based e-invoices*, PNG, JPG/JPEG, BMP, JFIF, PJP/PJPEG, GIF, SVG, WEBP, .EML, .MSG.
  • When opening the document preview, the topmost document is displayed automatically if at least one DMS document exists and the factbox area is visible.
  • If there are no DMS documents, the preview window stays empty.
  • Files can be uploaded directly via the document preview as well.
  • Files yet to be uploaded can already be viewed in the document preview.

User-specific settings

The following document preview settings are saved user-specifically in the browser cookies. This means that each user can select the settings that suit them best or that they are most comfortable with.

  • Saving Page View Adjustments - as soon as you have customized the document using the Page View Adjustment buttons, this setting is saved in your web browser cookies. This means you do not have to customize the pages again for each document. Even if you close your web browser, refresh the tab, select another record or DMS document in Business Central, this setting will remain.

Cookies

Please note that, depending on the web browser settings, cookies may be deleted. This can happen, for example, when you close the web browser. If you delete the cookies manually, the user-specific settings will also be reset. If you notice that the settings have not been saved or have been reset, check your web browser settings.

E-invoices Preview

* Please note that the validity of the XInvoice versions is specified by the Coordination Centre for IT Standards (KoSIT). You can find the current valid versions under this Link. TSO-DATA endeavours to display all valid X-Invoice versions correctly as soon as possible.

** Currently, only the PDF file is displayed in the document preview.

Email Preview

The document preview supports .eml and .msg email files. When an email file is selected in the DMS FactBox, its content is rendered directly in the preview area within Business Central — no download is required.

The following information is displayed:

  • Sender, recipient, date, and subject of the email
  • Email body (plain text and HTML emails are supported)
  • Attachments are listed but cannot be opened directly from the preview
